    Hello from the Guides Association of NYC (GANYC)! 

    We are trying to figure out how best to have our members vote on our FY 2020-2021 budget and a few constitutional amendments at our Online AGM which is scheduled for September 9 (our fiscal year ends October 31). 

    Our membership meetings on Zoom require members to register first via our membership management software, Wild Apricot, after which the registrants get a link to our zoom meeting. We have been doing this so we can track directly who registers for the meetings and to avoid Zoom bombing. 

    When we have had votes in the Zoom era, we generate a poll using Wild Apricot that goes to all of our full voting members. But it is an anonymous poll that goes to all full voting members, not just those attending the meeting. There is no functionality in Wild Apricot to allow for us to send the poll just to those registered for the meeting, and Zoom Polls go to all meeting attendees, and not of all of the attendees to our online meetings have voting rights in our Association. 

    For constitutional amendments and budget approval, our constitution says they are subject to a "vote of a simple majority of members present or represented by proxy at a General Assembly." 

    So we are trying to figure out best to make sure we have a majority. If we stick with the Wild Apricot solution, we have ruled out having proxies since all full voting members will receive the ballot to vote on the budget and the amendments. But this will not accurately show if this was a majority of members present at the meeting, since not all members will attend the meeting. 

    Anyway, we know we need to be flexible due to the current situation, but I was wondering if anyone has found a solution that worked well for an instance like this.
