Thank you for your interest in NYSAE’s MeetNY, the largest hosted buyer event in the Northeast for the ‎association community. Whether you are interested in attending MeetNY, or you have been invited to ‎attend, below are frequently asked questions and answers.  Don’t see your question? Q. Do I qualify to attend MeetNY? ‎

A. You can attend if you are a decision-maker or strong influence when choosing vendors, speakers, ‎products, or services used by associations (trade groups, professional societies) and their operations of ‎meetings, events, conferences, and tradeshows. You may also attend if you are a meeting planner or ‎manager of any nonprofit or for-profit corporation that produces special events and educational ‎conferences.‎

 

Q. What is the benefit of attending MeetNY?‎

A. MeetNY brings together association executives and planners with national and global businesses ‎showcasing their products and services. You will network with other industry professionals like ‎yourself. The day is filled with learning, connecting, food & drink and special giveways, followed by a ‎night out on Broadway to a hit musical.‎

 

Q. Can I still come to MeetNY if I am not able to attend the Broadway show?‎

A. Absolutely, just let the host that invited you know you won’t be attending the show. They may invite someone else to take your ticket. ‎

 

Q. May I invite someone from my office to join me?‎

A. You should ask your host if they have any openings for your colleague. All individuals that attend ‎MeetNY must be registered in advance by a host. If your host does not have room, contact the NYSAE ‎office info@nysaenet.org and we may be able to help find another host if your guest is also a qualified buyer.

 

Q. Can I just register on my own?

A. No, there is no registration to sign up for MeetNY. Attendees must be invited and confirmed by a ‎MeetNY exhibitor (host). They will invite you and receive confirmation from you. Leading up to MeetNY, ‎you will receive a Know Before you Go communication from NYSAE. ‎

 

Q. What if I want to attend and I have not been invited by a host?‎

A. Please reach out to your vendor partners for an invitation. Hosts come in from all over the country, ‎as well as Canada. Every host is allotted six (6) spots which includes their team and their guests. Every ‎host is also given six (6) tickets to attend a Broadway musical after MeetNY.‎ If you still have not received an invite, please contact the office and we’ll help match you with a host.

 

Q. What does it mean to be hosted? Do I have to stay with them?‎

A. Every host has a number of tickets to get into the event, and same number of seats at the show later that ‎evening. After you pick up your badge you will visit with your host and receive your ticket to the show ‎from your host. You do not have to stay with the host throughout the event.‎

 

Q. Do I have to pay for anything to attend MeetNY?‎

A. No, as an attendee, except for your overnight room, all of your expenses tied to the event are paid for by the host and NYSAE.‎

 

Q. What is the dress for MeetNY?‎

A. Dress business casual. Feel free to dress for comfort. You’ll be on your feet for Meet NY and for a ‎short walk to the theatre. ‎

 

Q. Is there a hotel block to reserve a room?‎

A. We have a negotiated room block with a deadline a few weeks before MeetNY or until inventory lasts. Information will be ‎posted on our website.‎

 

Q. My plans changed and I cannot attend anymore. Who do I tell?‎

A. Even if it’s day of, please communicate a cancellation with your host. It’s not just your registration the host and NYSAE has to ‎cancel. They’ve reserved a ticket for you at the theatre. Feel free to cc: info@nysaenet.org

CANCELLATION AND REFUND POLICY: Meet New York hosts must give notice of sponsorship or table cancellation to NYSAE in writing. If NYSAE receives notice of cancellation more than 60 days prior to Meet New York, NYSAE will refund fees minus a 25% processing fee; if cancellation occurs less than 60 days prior to the Meet New York event, the processing fee will be 50%. No refunds will be made for cancellations less than 30 days prior to the Meet New York event date. If hosts reduce the number of tables reserved, this cancellation policy will apply to the cancelled portion of space and NYSAE reserves the right to relocate hosts to new space to serve the best interests of the event. In fairness to all hosts involved and to NYSAE, the above policies regarding space assignment, payments, and refunds, will be strictly adhered to by NYSAE.
